Yes. Ulla allows users to upload audio and video files for transcription. We support all major formats, including mp3, wav, mp4. Once uploaded, Ulla generates a transcript and summary, just like for a live meeting.
#### Can Ulla identify speakers during a meeting?
Yes. Ulla goes beyond meeting labels and analyses voice patterns to identify who’s speaking. It allows Ulla to accurately attribute speech - even when multiple people join from the same device.
You can also rename speakers, and Ulla will remember and apply those names for future meetings.

Ulla will join automatically, record and transcribe the entire meeting for you. You will get the meeting summary via email.
#### Can I use Ulla for my organisation / company?
Each Ulla user is part of an organisation. When registering, you can either join an existing organisation or have a new one created automatically, where you'll be assigned as the organization's admin.
#### How can I add colleagues to my organisation?
When you log in to Ulla's UI, you'll see your organisation ID along with an invite link. You can share this link with colleagues, allowing them to easily join your organisation.
#### Can I change organisations, or be part of multiple organisations?
At this moment a user can belong to only one organisation. Should you wish to move to another organisation, you need to contact our Ulla support team.
#### Does Ulla support integrations with all platforms?
Currently, I'm integrated with Google Calendar, Google Meet, and Zoom, and I'm working on expanding to platforms like Microsoft Teams. You can still log in with your Microsoft account and use my direct file upload feature to transcribe meetings or recordings from any platform.
#### How can I upload an audio or video file for transcription?
If you have recorded a meeting using another platform, you can simply upload the audio or video file to Ulla. I will transcribe the meeting and generate a summary, action items, and key points. This is a great solution for Microsoft Teams users until full integration is available.
#### What is the file upload feature?
I allow you to manually upload audio or video files for transcription. You can upload files in formats like .mp3; .m4a; .ogg; .wav; .webm; .mp4; .webp. I'll transcribe them and generate a summary just as I would in a live meeting.
#### Can Ulla identify speakers during the meeting?
Yes, I can differentiate between speakers during your meetings, but when we first start, I may need some time to familiarise myself with everyone. That's why you can customise attendee names for better accuracy. Over time, as I attend more meetings, I'll improve at recognising speakers.
#### Is Ulla secure? How is my data protected?
Yes, I take data security very seriously. All your meeting data is encrypted in transit and at rest. You have the option to store your data locally on your servers or securely on ours. I ensure compliance with the highest security standards.

With the Enterprise package, I can fully customise summary templates to meet your team's specific needs. Data we collect and store while you are using Ulla website:
- **Technical Data** includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website.
- **Usage Data ** includes information about how you use our website.
Data we collect and store when you become an Ulla customer (when you subscribe to our services):
- **Identity Data** includes first name, last name, username or similar identifier and password.
- **Contact Data** includes billing address and email address.
- **Transaction Data** includes details about payments to and from you and other details of products and services you have purchased from us.
- **Marketing and Communications Data** includes your preferences in receiving marketing from us and our third parties and your communication preferences and surveys information.
- **Meeting Data** which you share with us by allowing Ulla to join your meetings and/or uploading meeting files directly to Ulla. This may include sound and voice samples, video and all the related metadata.
PRE-CREATED ACCOUNTS
In certain situations, Ulla may create a pre-created user account using a limited set of personal data, typically an email address only.
This may occur, for example, when Ulla is invited to a meeting or joins a meeting automatically, and the meeting organiser has not previously registered for an Ulla account. The purpose of creating a pre-created account is to enable the meeting organiser to access meeting transcripts or related outputs after the meeting, should they choose to complete registration.
Pre-created accounts are created with minimal information and remain inactive unless the user completes registration. They are retained for a limited period and deleted in accordance with our data retention practices, as described in the “Data retention” section of this privacy notice.
We also collect, use and share **Aggregated Data** such as statistical or demographic data for any purpose
Aggregated Data may be derived from your personal data but is not considered personal data in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy notice.
In the course of discharging our contractual obligations to you, we do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.
IF YOU FAIL TO PROVIDE PERSONAL DATA
Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you with services). In this case, we may have to cancel a product or service you have with us but we will notify you if this is the case at the time.

- Anonymised usage statistics collected by our Chrome extension through Google Analytics for events indicating the start and completion of meeting recordings and uploads. The Chrome extension does not collect meeting content, personal data or geolocation data.
**4.HOW WE USE YOUR PERSONAL DATA**
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
- Where we need to perform the contract we are about to enter into or have entered into with you.
- Where it is necessary for our legitimate interests, when we act in pursuit of our business purposes and your interests and fundamental rights do not override those interests.
- Where we need to comply with a legal or regulatory obligation.
We may send service-related communications to registered users, including onboarding messages, usage reminders, support-related communications and account-related notifications, where this is necessary to help users access and use the Services.
These messages are not marketing communications and are sent on the basis of our legitimate interests or the performance of a contract.
We do not use meeting, interview or voice data to train artificial intelligence models or for AI improvement purposes.
Generally, we do not rely on consent as a legal basis for processing your personal data other than in relation to sending our or third party direct marketing communications to you via email or text message. You have the right to withdraw consent to marketing at any time by contacting us.

We may use your Identity, Contact, Technical, Usage, Meeting and Profile Data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you (we call this marketing).
You will receive marketing communications from us if you have requested information from us or purchased services from us or if you provided us with your details or registered for a promotion and, in each case, you have opted in for receiving that marketing.

Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy notice.
We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
**6.INTERNATIONAL TRANSFERS**
Personal data is currently hosted and processed in the United Kingdom and, where applicable, within Europe.
We do not currently transfer personal data outside the UK and Europe. If this position changes, we will update this Privacy Policy and ensure that appropriate safeguards are in place in accordance with UK data protection law.
**7.DATA SECURITY**
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
**8.DATA RETENTION**
We retain personal data only for as long as necessary for the purposes described in this Privacy Policy.
- Pre-created accounts are retained for six (6) months, after which they are deleted unless registration is completed or further meetings occur.
- Registered account data is retained for as long as the account remains active and for a limited period thereafter, where necessary for legal or operational purposes.
- Meeting and interview data is retained until deleted by the account holder or organisation, or in accordance with applicable account settings or instructions. We may also delete or anonymise such data after a period of inactivity or where it is no longer necessary for the purposes described in this Privacy Policy
- Billing and financial records are retained for the period required by UK law.

TIME LIMIT TO RESPOND
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

Where Ulla HR is used within an organisation, that organisation is responsible for informing employees or other relevant individuals about the use of such tools, establishing a lawful basis for processing and implementing appropriate internal measures.
Data Protection Impact Assessments (DPIAs) may be required under UK GDPR depending on the context of use.
Ulla does not make employment or HR decisions.
**11. ADDITIONAL PRIVACY INFORMATION - ULLA INTERVIEW**
Ulla Interview enables users to collect voice-based responses through interviews or surveys, generate transcriptions and process information into structured outputs and reports.
Users are responsible for informing participants how their data will be used and for ensuring an appropriate lawful basis for collecting and processing responses.

LAWFUL BASIS
**Legitimate **Interest means the interest of our business in conducting and managing our business to enable us to give you the best service/product and the best and most secure experience. We make sure we consider and balance any potential impact on you (both positive and negative) and your rights before we process your personal data for our legitimate interests. We do not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law). You have the right to:
**Request access** to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.

**1. The Ulla services**
The **Ulla® family of artificial intelligence services** is designed to help organisations and individuals monitor, analyse and improve business communication and operational effectiveness.
The Services use artificial intelligence technologies to assist with the capture, organisation and analysis of spoken content and related information.
The Services are provided as support tools only. Ulla does not provide legal, HR or professional advice and does not make decisions on behalf of users.
**2. Changes to these terms**
We continuously seek to improve our Services. As our Services evolve, these Terms may also need to change.
We reserve the right to amend these Terms at any time. If we do so, we will notify you by:
- posting a notice on our website;
- sending you an email; and/or
- using any other reasonable method.
Your continued use of the Services after changes take effect means you accept the updated Terms.
**3. Who these terms apply to**
These Terms apply to:
- registered users;
- users whose accounts are **pre-created** in connection with a meeting;
- organisations using the Services for business purposes.
If you use the Services on behalf of an organisation, you confirm that you have authority to bind that organisation to these Terms.
**4. Account creation and pre-created accounts**
**4.1 Standard Registration**
You may create an account by registering directly through the Ulla website.
**4.2 Pre-created accounts**
In certain situations, Ulla may **pre-create a limited account** for a meeting organiser when:
- Ulla is invited to a meeting;
- Ulla joins a meeting via calendar integration; or
- a user enables Ulla to access a meeting without having completed full account registration.
In such cases:
- the only personal data processed is an **email address**;
- the account remains inactive unless registration is completed;
- the sole purpose is to allow access to meeting transcripts and summaries.
Ulla relies on its **legitimate interests** under UK GDPR to process email addresses for this limited purpose.
**Retention:**
Pre-created accounts are retained for 6 months, after which they are deleted unless registration is completed or additional meetings occur.
**5. Your responsibilities when using the services**
You are responsible for:
- determining and relying on an appropriate **lawful basis** under UK GDPR to record and transcribe meetings;
- informing all meeting participants that recording and transcription will take place;
- providing participants with appropriate privacy information.
**Objections**
If any participant objects to being recorded, you must not use the Services for that meeting or must stop the recording.
Ulla is not responsible for failures to obtain or respect objections.
**6. Data protection roles**
**6.1 Meeting content**
For meeting recordings, transcripts and summaries:
- you (or your organisation) act as the **data controller**;
- Ulla acts as a **processor**, providing the Services on your behalf.
You are responsible for:
- lawful basis assessments;
- handling objections;
- responding to data subject requests;
- conducting DPIAs where required.
**6.2 Pre-created accounts**
For pre-created accounts, Ulla acts as a **data controller** for the limited processing described in Section 4.2.
**7. Communications**
Ulla may send **service-related communications**, including notifications and transcript availability reminders.
Ulla does not send marketing communications to users with pre-created accounts unless and until they complete registration and provide any required consent.
**8. User сontent**
You retain ownership of any content you submit, upload, record or otherwise make available through the Services (“**User Content**”).
By using the Services, you grant Ulla a limited, non-exclusive right to process User Content solely for the purpose of providing the Services in accordance with these Terms.
You are solely responsible for:
- the legality of User Content;
- ensuring you have all necessary rights and permissions;
- compliance with applicable laws.
Ulla does not monitor User Content and is not responsible for its accuracy, legality or use.
Where the Services allow you to share transcripts, summaries or related outputs with third parties (including via shareable links), you are solely responsible for determining whether such sharing is appropriate and lawful.
Ulla does not control how shared content is further used, distributed or disclosed by recipients and is not responsible for any consequences arising from such sharing.
**9. Third-party services and links**
The Services may include links to, or integrations with, third-party websites or services that are not owned or controlled by Ulla.
Any access to or use of third-party websites or services is at your own risk. Ulla does not control and is not responsible for the content, accuracy, availability, policies or practices of any third-party services.
Any transactions, communications or interactions you have with third parties, including payment and delivery of goods or services, are solely between you and those third parties. Ulla is not responsible for any loss or damage arising from such interactions.
Ulla has no obligation to become involved in disputes between users or between users and third parties. You agree to release Ulla from any claims arising out of such disputes.
**10. Service Availability and Disclaimer**
The Services are provided on an **“as is”** basis.
You acknowledge that the Services are not error-free and that you use them at your own risk and discretion. No warranties are given, whether express or implied.
The Services will continue to develop over time. You acknowledge that features, functionality or layout may change without prior notice.
Ulla does not make any warranties, express or implied, regarding availability, merchantability, fitness for a particular purpose, non-infringement, accuracy, completeness, performance or quality of the Services.
From time to time, Ulla may need to carry out maintenance or updates for technical, security or operational reasons, during which the Services may be temporarily unavailable. Ulla will use reasonable efforts to schedule such work outside peak usage hours.
**11. Fees, payment and cancellation**
Some Services may be offered on a paid basis.
Details about pricing, billing cycles, payment terms and cancellation options are provided at the time of purchase or subscription, and may also be available in your account area or relevant FAQs.

If you use Ulla HR within an organisation, you acknowledge and agree that:
- you are responsible for determining whether and how such Services may be used within your organisation;
- you are responsible for informing employees or other relevant individuals about the use of such tools;
- you must implement appropriate internal measures, permissions and notices in line with applicable law;
- you are responsible for establishing and documenting a lawful basis for such use, including any required assessments;
- DPIAs may be required under UK GDPR.
Ulla does not make employment or HR decisions.
Ulla provides the Services as a tool only and does not control or determine how organisations deploy them internally.
**16. ADDITIONAL TERMS - ULLA INTERVIEW**
**Ulla Interview** is an artificial intelligence–based solution for voice interviews and surveys.
It allows users to create custom question sets, share links with participants, collect voice-recorded responses and automatically receive transcriptions and related reports.
Ulla Interview facilitates the collection and organisation of responses only. It does not make decisions about individuals.
You are responsible for informing participants how their data will be used and for determining an appropriate lawful basis for collecting and processing responses.
